Quick Update on Some Updates

I know we’ve been a bit quite lately but that certainly does not mean that we haven’t been doing anything. So just to keep you informed, here is a quick post about some resent updates.

Update Quick Search and Recent Patients

1. Quick Search by Current Location

You can now do a quick search by the patients current location. You can search separately on the area/room or enclosure fields or combined as its displayed on the patients record.

2. Two Recent Patients Lists

The recent patients panel on the sidebar now has two tabs. One for recently updated patients and the other for recently admitted patients.

4. Updated the Total Dispositions by Species Report

The Total Dispositions by Species report has been updated to now include the Died +24hr, Died in 24hr, Euthanized +24hr and Euthanized in 24hr dispositions. Previously these dispositions were combined in to Died and Euthanized. Because this is not an official annual report we felt it was important to separate them out.

Updated List to include multiple lists

5. Added List Categories to the List Patients Page

On the List Patients page, that typically lists all the patients paginated in groups of 20, you can now click on the LIST ALL PATIENTS header to see a drop-down list of other lists that you can view. As of right now there are only two lists available (All Records Admitted Today and All Records Updated Today) but I’m sure in the future there will be other categories. These lists will show all the matched records on one screen so that you don’t have to paginate through them.

Updated printing the rechek reports6. Simplified Printing the Recheck Report

We are often asked to allow for printing of all sorts of combinations of the recheck lists and frankly it was getting out of hand. So instead we just simplified printing the recheck list into 2 options. The first is that you now just print the currently listed rechecks. For example; if you want tomorrows clinic rechecks grouped by your patients locations then change the settings to those criteria, the displayed rechecks will update and then you can click the Print the displayed rechecks link.

Updated printing the rechek reportsSecond, we added the ability to print out each recheck group individually. For example you can now print only the Veterinarian rechecks if that’s what you want. To do so, just click the PDF icon next to the recheck group name that you want to print.

7. Datetime Custom Field

We added a datetime custom field type. This may be less exciting but it was needed. This field is just like a date field but it adds two additional fields so that you can also record the time if that’s important for you.

Things That we Are Currently Working On

There are a number of new things that were working on that were hoping to have done soon. Among them are Batch Updating, Importing and Multilingual features.

February WRMD Update

We have made it through the first month of the WRMD 3.0 update! What a month it was. Thank you everybody for your patience and we are sorry for any and all inconvenience the transition has caused. I know that reporting time is neigh upon us and we are the cause of some lateness due to trying to make sure everything matches up correctly.

Unidentified Species and Reporting

A few things to keep in mind while reporting is that in several cases the species are unidentified. It is critical that you choose from the drop down list provided. If you can not find the species you are looking for contact us, chances are it has an alternative name which can be found in wikipedia pretty easily. For example some was looking for Groundhog which was not in the database, being Groundhog’s day… I looked it up in wikipedia and saw that they are also known as a Woodchuck which was in the database. So, woodchuck could have been used instead. However, we are able to add the common name Groundhog to the species, so now you can use Woodchuck or Groundhog and both are the same. We will create a way in settings to look up your unidentified species, but as for now you can see that a species is unidentified by exporting everything from a list into excel. If you see a species_id number as 999999 it is an unidentified animal.

Customization and Reporting

Every state has their own requirement and we work hard to make sure that at the least you are able to record the necessary information required for your reports. Some states like New York have many custom settings to record information that is required by the state. So, sometimes we have to work out some of the bugs that come along with customization before everything works smoothly.

Custom Fields

The same thing goes for Custom Fields.Screen Shot 2016-02-02 at 11.07.52 AM As many have now noticed you can only have 10 custom fields, anything beyond that will not allow for data to be recorded. We have worked with a few organizations to try and dwindle down their custom fields to a manageable level. Still, custom fields are a little more finicky because they have to format themselves in to everything else which is pre-formatted by WRMD and sometimes bugs occur. If you are in need of more custom fields, then please contact us so that we can help either dwindle down what you have or we will be able to do custom extensions for a charge. This will not launch until we are sure we have all the kinks worked out in WRMD 3.0. (Note: Custom fields in image are Sector and Aid Station)

WRMD Adding Back its Lost Features

It was really important to WRMD that we get the Heart of WRMD 3.0 working smoothly. In order to do this we did not move over all of the features that WRMD 2.0 had, such as WRMD Import and Necropsy among many other features. As, WRMD 3.0 is getting debugged and our customer service is slowing down, we can now focus on getting more of the WRMD 2.0 features into WRMD 3.0.

Necropsy

As of today the Necropsy extension will be available again. Thanks to some help from out users, it is beefed up substantially. Keep in mind this is designed for veterinarians, but can be used by any skilled Prosector.

Analytics

This month we will work on getting Analytics back on board as well. So, if you have a analytic that you would like to see in the analytics section that would be useful to all wildlife rehabilitators let us know and we will consider adding it in. Email us at [email protected] for suggestions.

October 2015 FAQ’s

Over the past few years we have found that users often ask many of the same questions. We thought we would share some of them with you, in case they come up for you too.

How can I delete a record?

There is no way to delete records, but you can write over them with information from another case or you can void the record which then excludes it from all searches and reports. You can also Void a record by choosing “Void” in disposition. By Voiding a record you remove it from all reports and analytics.

Can I create custom fields?

Yes you can.  Custom Fields is an extension in settings that can be activated. Once it is activated you can go in and create custom fields at the top or bottom of any of the boxes in WRMD. Can I backup my own data?

Yes you can. WRMD Backup is an extension in settings that can be activated. Once it is activated you have 2 options for a backup. You can backup the data as an excel spreadsheet, or you can save it as a SQL file. A SQL file can only be understood through a program that can translate it for you, such as a database program. Can I do an “or” search?
For example, if I’m trying to search for titmouse or towhee?

Yes, you can do an “or” search but only through the Advanced Search feature. To get there click the Search link on the left then the Advanced Search button on the top of the page. On the Advanced Search screen select which field to search (in this case use “common name”) then select the operator (“contains”) and then the value you want to search for, such as titmouse. Click the Add New Row button and create a new search argument but this time the very first drop down list should changed to OR. You can add as many arguments as you need.

We keep getting kicked out of the WRMD system. It happens randomly.

What appears to be happening is that every so often the system is being used at a very high volume and at that peak point it becomes overwhelmed. This has happened a few times this summer. Along with many other changes to WRMD 3.0, there will be a completely different server organization which will allow for much more space and speed. Because of the current server configuration in WRMD 2.0 we can’t change the configuration in this version. We are aware of the problem and it is one of the main reasons we are working really hard to make sure WRMD 3.0 will be ready to go by the new year. We, are really sorry for the inconvenience and hopefully by September 1 it will stop happening.

Extension of the Month: Custom Fields

One of the hardest requests we receive has been about custom fields. We can’t create a field for all the different types of information that centers record. We can only extensively generalize what most rehabilitation facilities will need. This is why Custom Fields was created. Sometimes there is something that you have to record regularly and it is a necessity.

About the Custom Fields Extension
Custom fields are used when you have something that you would like to record, but Wildlife Rehabilitation MD does not offer the appropriate field. You can add in your own custom field at the top or the bottom of any box. For example, if you have a special identification number that your local Animal Services department uses and you need to record that number you could use Custom Fields to add a input field to the top or bottom of the Identity box called “Animal Services ID#”.

Before using the Custom Fields extension, keep in mind that creating a custom field just for the simplicity of creating one may not be the best solution for your needs. If you plan to use your custom field on a regular basis then clearly it was a good and useful decision to add it in. However we strongly encourage you to use the fields available in Wildlife Rehabilitation MD. By doing so, your data is following the same standards as other Wildlife Rehabilitation MD accounts and will ensure consistency of data collected on each patient. If there is data that you need to record but no appropriate field exists, we suggest that you keep that data in the “continued treatment” field.

How to use the Custom Fields Extension
When the Custom fields extension is activated, a settings link will appear on the left sidebar within the settings section. Select Manage Custom Fields. Choose the tab for the box that you wish to add a field into. Using the “Animal Services ID#” example above, you would select Identity. Then select Add Identity Field. The location of the new field will either be on the top or bottom of the existing native fields. You can not add a field in between existing fields. Fill in the field label and choose the field type.

Field Types
Short text field A short text field that allows any type of value.
Long text field A long text field that allows any type of value.
Date field A text field that only allows dates as values.
Number field A text field that only allows numbers as values.
Select list A drop down pick list of options you specify. If you choose a select list then must add the options for that list in the Options field.

Lastly specify any validation rules that you want to apply to your new field. For example you could make the new field required.

If you need to edit or delete a custom field, click on the circle arrow icon to edit it or the trash can icon to delete it.
